1. Announce the Event Internally

Why Promote the Training in Advance?

The first step toward a successful awareness campaign is ensuring strong participation. Whether participation in your organisation is mandatory or voluntary, clear communication is key to making the most of the training and increasing its impact. To help you maximise engagement, we recommend that you:
  • Promote the event internally
  • Explain why you chose to offer this training
  • Spark interest in the virtual reality experience

Promote the Event On-Site

This section includes an A4 poster you can display in your office. It’s customisable: you can add your logo and a short description of the event.

Communicate Digitally

We’ve created a high-impact email template you can use to inform your teams and generate interest in the training.

And because a picture is worth a thousand words, we also provide trailers of our VR experiences to help bring the training to life.

2. Preparing the Workshop

Creating the Groups

Il n’y a pas de règle absolue pour constituer les groupes, que ce soit en termes de mélange de niveaux hiérarchiques, de types de poste ou de types de missions dans l’organisation.


Our only recommendation: aim for gender-diverse groups wherever possible.

If participation is mandatory, make sure to check in advance for any contraindications related to VR use and confirm the solution’s accessibility for all participants.


We recommend allowing at least one hour per workshop session per solution.
The VR experience can also be integrated into a longer, more comprehensive training day if desired.

Anticipating Equipment Needs

Our logistics sheet includes all the key recommendations to help you organise your awareness training day effectively. It covers the ideal setup: suggested room layout, furniture, equipment, and useful supplies.

Delegating the Facilitation

If you choose to delegate the facilitation to someone else, our mission order template will help you clearly outline and pass along all the key information they need to prepare and deliver the workshop effectively.

Technical (Re)Training

To run this awareness training, you'll be using the Reverto app on VR headsets. Whether you're already familiar with the setup or using it for the first time, we strongly recommend reviewing the following documentation:

This material contains everything you need to complete your technical training or refresh your memory on core functions. For further details, feel free to refer to the manufacturer's documentation as well.

3. During the Workshop

How to Start the Workshop

There are two key steps to starting the workshop effectively: a brief introduction by the facilitator, presenting the topic and the goals of the awareness training before launching the VR experience; and coordinating the launch of the VR experience for all participants.

Our introductory guide will help you prepare and facilitate this opening stage with confidence.

How to Facilitate the Workshop

Once the VR experience is over, make sure each participant has completed the full session. If someone hasn’t finished, guide them through the remaining steps.


This stage of the workshop is about opening up dialogue around the topic of the experience. To support you in guiding the conversation, we’ve created a debrief guide, available below.


In case a participant has a strong emotional reaction to the content, our mental health first aid guide offers tools to help you respond appropriately and supportively.

How to End the Workshop

Before closing the session, make sure to remind participants who their designated contacts are within your organisation and share relevant internal and external support channels. Be sure to provide the learner recap sheet to all participants. It can also serve as a helpful guide for closing the session and reviewing key takeaways.

And don’t forget the final practical step: clean and plug in all VR headsets for the next session or switch them off if it's the end of the day.

4. After the Workshop

Gathering Feedback

At the end of the session, please ask participants to scan the QR code provided. It links to a short, anonymous quiz that helps us continuously improve our workshops and training solutions. It also provides valuable insight into how your teams received the session and how impactful they found the experience.

Sharing Useful Resources

We’ve created a learner recap sheet to help reinforce key takeaways and support long-term retention. This sheet includes key definitions, the core principles covered in the training, and a list of internal and external support channels your teams should be aware of. You may use it as a support to end the workshop or simply hand it to the participants on their way out. Either way, transmitting it to your learners is essential.
